Policies


DEADLINES       A deadline will be defined as approval of a project to proceed from a quote with a deposit AND artwork. A project CANNOT START without this. If a deposit is not required, the quote will reflect this with a line item stating, “client approved for billing” with the terms listed. Subsequent deadlines will be required from our design, production, and logistics and proof team at various stages of the project and will be defined as outlined below. Standard print orders must be approved with print-ready artwork (12) business days prior. Jobs that are reliant on specialty inventory, transportation, shipping, and are larger or are more complex may require deadlines ranging from (30-60) days prior and will be defined on quote.

 

Quote deadline will appear on any quote or email as follows: “Confirmation needed by … (followed by a date)”. Client understands IF QUOTE DEADLINE PASSES client must ask for a NEW QUOTE AND CONFIRM PROJECT CAN BE FULFILLED. This should only be done in writing. Art deadlines will appear as “changes needed by …” and “approval needed by …”

 

IF ANY DEADLINE PASSES AND IS MISSED BY CLIENT, CLIENT SHOULD CONFIRM WITH EGRAPHIX IN WRITING THAT THEY CAN STILL FULFILL THE JOB. CLIENT UNDERSTANDS EGRAPHIX MAY ALTER CHARGES. Changes in price reflects a multitude of items, including but not limited to interruption in eGraphix processes or schedule, additional labor, or increased product costs. If an art or proof approval deadline is missed by client AFTER approval of quote and eGraphix cannot fulfill, client will forfeit any monies paid as a deposit. If client was approved for billing by company eGraphics will bill client up to 50% of the item.

 

SUPPLY CHAIN INTERRUPTION OR PRODUCT AVAILABILITY       EGraphix has the right to adjust pricing due to supply chain interruptions and agrees to notify client prior; however, eGraphix has the right to exchange product as needed to meet a deadline if eGraphix can find a comparable product that will meet client’s deadline without changing the scope of work.

 

TRADE DISCOUNTS       Trade discounts are based on preapproval from EGraphix for qualified clients. Discounts will appear on quotes showing standard eGraphix pricing for the project and the respected qualified discount based on terms as outlined within our policies and terms. Qualifications of discounts are contingent on eGraphix pre-project decision based on multiple factors, including but not limited to volume of annual work, multiple year pre-agreed contracts, and complexity of project. Discounts will be reduced or removed in the event of a project being accepted after a deadline or a more complex job. Labor and installation are exempt from any discounts.

  

RUSH FEES & ADDITIONAL CHARGES     A rush fee will be charged for any deadline that is missed or a project that is accepted beyond our standard deadline as outlined above. This may be in the form of a line item’s charge stating “rush fee” or in some cases a reduction or loss of discounts.  Client understands additional charges may be billed beyond initial quote due to changes made by client. A quote is considered an estimate and may deviate based on final needs, changes, or alterations. Additional charges may be charged for complex or niche projects outside eGraphix standardized production process.

 

PAYMENT & TERMS                  Unless stated otherwise on quote, all clients must pay 50% deposit to start order. Order date will start once deposit is received with artwork. Payment is due IN FULL once project is printed and prior to install or delivery.  All sales are final. Company has the right to remove any discounts extended on initial quote or invoice for delinquent accounts. Client agrees to cover all fees associated with collection of any delinquent accounts. This includes, but is not limited to, attorney fees and court costs. Delinquent debt is charged an annual interest rate of 17.99%.

 

ART      Fully prepared art that does not need to be manipulated, altered, or created by eGraphix remains property of client. All files provided to eGraphix by client should be high resolution layered files. Egraphix may charge for art manipulation or setup. In this case these files will remain property of eGraphix to produce exclusively for client. If client pays eGraphix for art creation or development, client may retain these files for client’s future purposes. No files will be released if any balance is outstanding. EGraphix has the right to use images or samples of all work printed by eGraphix for the purpose of demonstration, presentation to future clients, and marketing. EGraphix will not reprint clients’ files for use by another client. If client pays art archive fee as represented on their invoice, this will provide (24) months or high-resolution storage of clients’ files in all formats including prepress rip layout in altered and non-altered forms.

 

INSTALLATIONS & DELIVERY                Any installation will require full uninterrupted access to the install area with reasonable access for trucking. Time required will be provided to client prior to install. Standard installations are M-F, 8am – 6pm. Install labor is based on a day rate (up to 8 hours) or a ½ day rate (up to 4 hours). Rates are to be charged 50% additional for any installations after standard install hours or dates and holidays. EGraphix is not responsible for delays due to weather, client changes, or non-access to area. Rates for install are billed when staff is on site. There will be a 30-minute break allocated for every 4 hours of work. Local deliveries are within 20 miles of office at the rate of $150. Out-of -area deliveries are quoted on a per case basis and may use third parties. Complex installations will be charged additional for project management, logistics, and/or supervisors, and may not be reflected on initial quote.

 

SPECIALTY ONLINE & PROMOTIONAL PRODUCTS          Any specialty and promotional products listed on our website will provide unique terms contingent on the item this is based on supply, quantity, and production time. LIMITED LIABILITY        All sales are final. Disputes with any quality of printing must be received within (24) hours of receipt of product. EGraphix liability is limited to the value of any project minus any items received by client and fulfilled by EGraphix. At EGraphix sole discretion, they may choose to redo work, provide a future printing credit, or provide a monetary refund. Client releases EGraphix from all liability due to client’s: failure to reply or approve proofs; change orders that delay project; missed deadlines by client; low resolution artwork provided by client; any transportation delays; transportation accidents; strikes; natural disasters; government or local shutdowns and any acts of God.
